privacy · how we look after what you tell us
your details, kept to us.
We only keep what we need to answer you and do the work, we don’t sell it, and you can ask to see it or have it deleted at any time. Here is exactly what that means.
the short version
What you put in the job bag, and, if we work together, your jobs, files, approvals and messages.
The studio, and the few services that run the site for us. Never sold, never used for anyone else’s marketing.
Ask to see, fix or delete anything we hold on you. Email info@onedesignstudios.com or call 0191 487 6767.
who we are
OneDesign Studios is a trading brand of One Group (Onesign & Digital), D86 Princesway North, Team Valley, Gateshead NE11 0TU. One Group decides how the personal information on this site is used, which makes us its controller under UK data protection law.
Anything about your information goes to info@onedesignstudios.com, 0191 487 6767, or the address above.
what we keep, and why
when you send us a job bag
The contact form asks for your name and email, and if you give them, your business, phone number, what you are making, where it has to live and anything else you tell us. We use it to reply, to quote, and to keep a record of what you asked for. That is in our legitimate interest in answering people who get in touch, and it is what you would expect us to do with it.
when we quote
A quote goes to the email on your job bag, with a private link. When the link is opened we note that it was and when, so we don’t chase you about something you have already seen. If you sign it, we keep the name you signed with, the time, and the lines you chose. That is the start of a contract, and we need it to do the work.
when we work together
You get a page for your jobs. We keep the email addresses allowed to sign in to it, the files you and we share there, your answers to our questions, your approvals and the messages on each job. We need these to do the work you asked for (contract), and we keep the invoices and records the law asks of any business (legal obligation).
when you visit the site
Like any website, the servers that deliver it see your IP address, browser and the pages you ask for, and keep them briefly in their logs to keep the site working and secure (legitimate interest). Google’s tag sends Google a cookieless signal that a page was opened, without storing anything in your browser (legitimate interest); if you say yes on the cookie banner, Google Analytics also sets its cookies and counts your visit properly (consent). See the cookies page.
We never sell your information, never use it to advertise to you, and we don’t make decisions about you by computer alone.
how long we keep it
- A job bag that doesn’t go ahead: up to two years, in case you come back to it, then deleted.
- Quotes, signed work, invoices and the jobs behind them: six years after the job, the time HMRC asks businesses to keep records.
- Files on your jobs page: while we work together, and then for as long as you might need us to send them again, up to six years. Ask and we will delete them sooner.
- Server logs: a few days.
how we keep it safe
Everything travels encrypted. Your jobs page opens only with a one-time code sent to an email on your record, and the files on it are private to you and the studio. A quote’s link is a long random key that only exists in the email we send you; we keep a scrambled copy that can’t be turned back into the link.
Only the studio team can open our dashboard.
what you can ask of us
Under UK data protection law you can ask us to:
- tell you what we hold about you and give you a copy;
- correct anything that is wrong;
- delete it, where we don’t have to keep it by law;
- stop or limit how we use it, or object to it;
- give it to you, or someone else, in a format a computer can read;
- take back a yes you gave us, like the cookie one, whenever you like.
Email info@onedesignstudios.com or call 0191 487 6767. It costs nothing and we will answer within a month.
If you are unhappy with how we have handled your information, tell us first and we will put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
changes to this page
If we change how we use your information, we will change this page and the date at the bottom. If it is a big change and we are working together, we will tell you.
